Introduction to Topic

Starting my journey at the Friendly Paws Veterinary Clinic, improvement was always on the mind. As my progression through the clinic proceeded, I found an underlying situation with the computer system that their practice depended on for storing information and maintaining their schedules. I wanted to improve their system and see if they could have other tasks installed in their program and have the program customizable instead of a fixed system. With this, I created a system where the system works for the clinic and does not impede in work fluidity.

The programs available to veterinary clinics are limited in access depending on the installation. They are able to inhibit the communication between the workers, even without the segregation of jobs. Using my time at the Friendly Paws Veterinary Clinic, I observed the partnership between the veterinarian and assistants or veterinarian technicians and wanted to enhance their cooperation in order to benefit the pet owners and have a safe experience with all the animals. They did not rely heavily on the technology available on their software and yet they were impeded when the system failed. This create tension between all the coworkers and seemed to create trouble in the experience at the clinic. Handling all of the pop-up surgeries, new appointments, and conducting in-house in efficient manner is vital in customer service and the concentration on the task at hand. To create a program to allow the company to start ground up or recruit new members is distracting when in correlation with the usual practice. Using current programs that are utilized from school along with already pre-existing applications, I have devised my own type of program with a business model in order to promote the program.

Experience Description

At the Friendly Paws Veterinary Clinic, I followed Dr. Bradley Price along with his veterinarian technicians for 50 hours and attempted to shadow for a work day, their progression from the morning to afternoon surgery to night appointments. With this set up, I was able to view the whole work day of the technicians and assistants, the working dynamic between all coworkers and pet owners. Along with this dynamic, I was able to view the systems they used along with all the paperwork they were required to scan and shred, the machines they had to use to complete in-house lab work, and the surgery’s they had to prep for in order for sanitation methods to be upheld.

Key observations derived were the scenarios where confusion clouded the clinic and led to widespread frustration that was present during appointments. One time, Doctor Bradley Price did not instruct which lab test he wanted run first and when the technicians ran the wrong test, he was held back in the diagnosis of the patient or pet. Another time, a schedule was altered on the program without the knowledge of the technicians or the physician. This caused a stop between patients and a long wait to clear up the issue and correct the online schedule. During surgery, no one know who began the charting of the animal, forcing a set back and warranting a search on the person along with a restart of charting, therefore making it inaccurate. Another issue with surgeries are when the technicians continued to fold the surgery kit incorrectly, exposing the wrong side and making the kid unsanitary. When inserting the information for the patient’s diagnosis and the treatments for the animals, they were updated while the discussion was occurring with the patient and there was a lack of explanation for each medication and treatment plan. The doctor would enter eventually, but never at the same time and sometimes interrupting the technician’s explanation.

When conducting their outside surgeries for the CFA, there were many miscommunications between the companies like what kind of procedures they will like to have for the certain cat or if they were going to be tagged or not, which indicates if they will become feral or be adopted.

Dr. Price was unaware of an appointment that clashed with a patient’s appointment and abruptly asked for a re-schedule, which was last minute and unfair to the customer. If their program told them of this complication, then the question would not have had to arise and disrupt the work flow.

When their computer system malfunctioned, there were no troubleshooting in regards to paperwork or back-up systems.

The experience at the shadowing was intriguing and has heightened for my pursuit in medicine along with my understanding in working at a medical environment. The understanding of complication, but the intent to work through the issue has exposed to me the kind of environment I can possibly thrive in for my future career in medicine.

All of these programs are listed on the website and help enhance multiple sectors required in the clinic besides pet care. Some of the listing are basic inputs that are already featured in many veterinarian programs, a comparison from 8 programs. This required about 4 hours in finding credible and true veterinarian programs along with documenting all the features found in each program and finding similarities along with reading testimonials that could possibly highlight certain features. Many programs included cloud based savings, electronic medical records, portals for customers to access information about their pets, appointment reminders, electronic payments and eSignatures, connection to in-house labs plus their x-rays, allowing for outside lab requests and partner integrations, image storage, prescription management and treatment plans for each pet. New integrations allow for more customization of the program along with new features that are not found in the usual programming.

The first new addition is an implementation of job searching. While shadowing, the clinic was looking for a new employee, but required to use an outside source in finding an available person. No checklist was used in determining what to do with the available qualifiers or what was the necessary accomplishments with each qualifier on the given day. If the job search was involved in the program in the computers, then the work can be segregated to all the employees instead of the head doctor and customization in the selection of the candidate and the specified qualifications. Incorporated into the program, would be a template of the letter that you would like to send out along with the job searches. This template allows you to pick which job sites you would like to enter the request and pre-fills all the required elements in each jog search, allowing for the only the completion of one file instead of individually going into each website. A filter will also go through the candidates that answer the ad and sift through their qualifications along with their availability to the clinic, such as distance from the clinic. This will be demonstrated through a PowerPoint, which accounts for 4 hours.

Another issue is sending documents from one facility to another. To make the process easier, the program will allow for pre-selected items to be automatically sent over through email or fax, which will only require the brief overview of the documents and any additional paperwork for the patient. This will decrease the time on focusing on transferring files. Through a PowerPoint, a sum of 2 hours is displayed.

Dr. Price regarded the complications of comparing the patients and their possible diagnosis from the symptoms typed onto the program. The back and forth shuffling between information, made his thinking unclear and the need for reassurance. A solution is allowing for the program to view the symptoms and generate a possibility of diseases. This will allow for easier clarifications and understanding of the diagnosis. The other option available is to have a direct search in the dictionary of the program as to not have to access the internet, since the dictionary can be included in the main computer that will utilize the feature. Other computers or devices can access videos on lessons such as how to fold surgery kits correctly to teach new comers of the specific regulations and equipment care in the clinic. This will be completed by the individual practitioner and they are able to add the videos while categorizing all the video uploads. This can be seen through the PowerPoint, exhibiting 5 hours.

Before starting with the business plan, I filled a questionnaire to describe my qualifications in the business sector and pin-point vital information that I need to continue with my analysis. This provided me with a through plan for future research from just answering 20 questions in 45 minutes, since some of the questions required outside research and answering multiple questions.

The market plan is filed for the company and how the operations in introducing the product to the market. To start he business plan, a market analysis must be completed and researched according to the current market, primary target market, gross target market, distinguished characteristics of the market, completive analysis and regulatory regulations. Each sector requires extensive research into the category and finding other program’s analysis. This led to about 2.5 hours of research and my own conclusions regarding the analysis.

Two websites are created for the innovation, first of the actual product while the second is the business plan. Each website used wix.com and took about 2 hours each to write all the correct information and to customize the website to the company’s brand and presentation.
